Chakloon Sign

How to send a PDF for signature with Chakloon Sign, how signers sign it, and what kind of electronic signature you get.

What it is

Chakloon Sign at sign.chakloon.net provides simple electronic signatures with an audit trail of events. It signs the whole PDF: you upload a finished document and add the signers in the order in which they sign, and each of them reviews the whole document and confirms the signature. The signatures and the audit trail are placed on a certificate page added to the document, and the original content of the PDF does not change. Chakloon Sign works in English, Ukrainian, Russian and German.

Chakloon Sign is based on the open-source software DocuSeal (licence AGPL-3.0), with our own changes. The source code of the version we run is free of charge at https://sign.chakloon.net/source, see also the Chakloon Sign Terms.

Send a document for signature

  1. Open sign.chakloon.net and sign in with your Chakloon Passport.
  2. Upload a finished PDF. There are no fields to place: the whole document is signed.
  3. Add the signers with their e-mail addresses, in the order in which they are to sign.
  4. Decide how they receive the invitation: by e-mail from Chakloon Sign, or, with these e-mails switched off, by a personal link that you give each of them.
  5. Send. Each signer receives the invitation when their turn comes, and replies to the invitation e-mail come to you.

You see the status of every document and can cancel a document.

Sign a document you received

  1. Open the invitation e-mail or the personal link from the sender.
  2. Read the whole document in the browser.
  3. Confirm the signature.
  4. When everyone has signed, open the e-mail with the download link and save your copy of the signed PDF.

You do not need a Chakloon account to sign a document that was sent to you. If you have signed in to Chakloon Sign, invitations and the completion of a document also appear in the Chakloon bell. Until everyone has signed, you see a confirmation that you have signed, and there is no copy to download yet. The PDF is not attached to the e-mail: you download it by the link.

If you do not want to sign, refuse and, if you wish, give the reason. The document then closes for everyone, and the sender and those who have already signed receive an e-mail.

What kind of signature it is

A signature made in Chakloon Sign is a simple electronic signature (SES) under the EU eIDAS Regulation. It is not an advanced or a qualified electronic signature. It cannot be rejected as evidence merely because it is electronic, but it does not have by law the same effect as a handwritten signature, and some documents require a qualified signature, a handwritten signature or a notary. You decide whether a simple electronic signature is enough for your document. If you are not sure, ask a lawyer before you send it.

For every document we keep an audit trail: the upload, the sending, the invitation e-mails, the first opening by each signer, each signature with its time in UTC, IP address, browser user agent and the consent text the signer confirmed, a refusal with its reason, the completion and a cancellation. The audit trail shows that a document was signed by someone with access to a certain e-mail address or personal link. It does not by itself prove who that person is.

Anyone who has the number of a document can check it on the public page sign.chakloon.net/verify/. It shows the title, the names of the signers, the time of signing and the SHA-256 hash, without e-mail addresses or IP addresses. Choose the title of your document with this in mind.

Keep your documents

A document and its audit trail are kept as long as the sender's account exists. To delete a document earlier, the sender writes to legal@chakloon.com. After deletion the verification page and the links of the signers stop working, while copies already downloaded stay with those who have them. Chakloon Sign is not an archive. Every party should download the signed PDF with its certificate page and keep its own copy.
